This policy covers this website only. When you follow a link to another site, such as The Aalten Group, a project website or a partner’s website, that site’s own privacy policy applies.
What we collect
Information you give us
When you send an inquiry through our contact form, we collect your name, email address and message, the topic you choose, and, if you provide them, your phone number and company or organization. If you email us, we receive your email address and whatever you include in your message. Each form inquiry is saved in our website’s database and emailed to our team.
Information collected when you visit
- Website analytics, unless you decline. Our analytics tool runs on our own website server. It records the pages you visit, the site that referred you, any campaign tags in the link you followed, your device type and browser, your IP address, the date and time, and a random visitor ID stored in a cookie and in your browser’s storage. We do not use this information to identify you, and we do not use it for advertising.
- Security and delivery. Our hosting provider and our content delivery and security network process your IP address and basic request details to deliver pages to you and protect the site from attacks and spam.
We do not knowingly collect personal information from children. This website is meant for business, land, partnership, media and career inquiries.
How we use your information
- To respond to your inquiry and follow up on the topic you raised, such as a project, partnership, land, media or career inquiry.
- To understand, in aggregate, how visitors use the website so that we can improve it, unless you decline analytics.
- To keep the website secure and prevent spam and abuse.
- To meet our legal obligations.
We do not sell or rent personal information. We do not add you to a mailing list or send you promotional emails unless you have expressly agreed to receive them, and every such email will include a way to unsubscribe.
Your consent
When you send us an inquiry, you consent to us using your information to respond and to follow up on that inquiry. When you first visit, a notice tells you that we use an analytics cookie and lets you decline it. If you continue without declining, we take that as your consent to analytics. You may withdraw your consent at any time, subject to legal or contractual limits, by declining in cookie settings or by contacting our Privacy Officer.
Cookies
Cookies are small files that a website stores in your browser. This website uses very few:
| Cookie | Set by | Purpose | Kept for |
|---|---|---|---|
| aalten_consent | This website | Remembers whether you accepted or declined analytics. | 12 months |
| unique_session_id | This website (analytics) | A random ID that lets us count visits and see which pages are useful. It is also kept in your browser’s local storage. Removed, and not set again, if you decline analytics. | 12 months |
| __cf_bm, cf_clearance | Cloudflare (security) | Tells real visitors apart from bots and protects the site from attacks. These are needed for the site to work. | 30 minutes to 12 months |
Site administrators who sign in to manage the website also receive WordPress sign-in cookies. You can change your choice at any time in cookie settings. If your browser sends a Global Privacy Control signal, we treat it as a decision to decline analytics. You can also block or delete cookies in your browser settings.
Who we share it with
We share personal information only as needed for the purposes above:
- Within The Aalten Group, when another Aalten company is best placed to respond to your inquiry.
- With service providers that run the website and our email for us: our website host (WP Engine), our content delivery and security network (Cloudflare), our email provider, and the agency that builds and maintains the website (Dragos Design Creative). They may use the information only to provide their services to us, and must protect it.
- When the law requires it, or to protect our rights, property or safety, or those of others.
- As part of a sale, merger or reorganization of our business, under an agreement that protects the information.
Where your information is stored
Our service providers may store and process information in Canada, the United States or other countries. While it is there, it is subject to the laws of those countries and may be accessible to their courts, law enforcement and national security authorities.
How long we keep it
We keep inquiries for up to two years after our last contact with you, unless we need them longer for an ongoing business relationship or a legal reason. We keep analytics records for up to 24 months. After that, we delete the information or make it anonymous.
How we protect it
The website is served over an encrypted connection (HTTPS). Only authorized people who need your information to do their work can access it, and our service providers are required to protect it. No method of transmission or storage is completely secure, but we work to protect your information against loss, theft and unauthorized access, use or disclosure.
Your rights
You may ask to see the personal information we hold about you, ask how we have used and shared it, and ask us to correct it if it is inaccurate or incomplete. You may also withdraw your consent, as described above. To make a request, contact our Privacy Officer. We may need to confirm your identity first. We will respond within 30 days, at no cost to you or at minimal cost, which we will tell you about in advance.
Questions and complaints
If you have a question or concern about how we handle personal information, please contact our Privacy Officer at info@aaltengroup.com. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.
